How a job flows

From booked to signed off in three steps

The office, the engineer and the customer each see their own part. Pick a step to see the screen.

The diary: a column for each engineer, jobs as coloured blocks by time, and a list of jobs waiting to be booked
The engineer’s day on a phone: the next job with directions and today’s listA job on the engineer’s phone: on-site progress, parts and photos
The customer signs on the engineer’s phoneThe PDF job sheet the customer receives, with work done, parts, photos and signature

What it does

Six things it does for a maintenance firm

Each one with a real screen from Field Suite. Everything on this page works today.

  1. 1

Service contracts that book their own visits

Set up a maintenance contract once. Each visit becomes a job to book a few weeks before it is due, the customer is reminded, and the contract is invoiced monthly, quarterly or yearly on its own.

With Assets, servicing and contracts (in Pro)

Service contracts with their visits and what each is worth a year
  2. 2

Every site and piece of equipment, with its history

Booster sets, pumps, boilers and alarms at each site, with make, model, serial number and service interval. See what is due in the next month or year and book it in one go.

Equipment due for service across every customer and site
  3. 3

Found on the visit, quoted with options

The engineer records what they found and how urgent it is. The office turns it into a quote with up to three options, and the customer accepts online.

Quoting with Pro, or the Quotes and invoices add-on

Faults found on the visit, marked by how urgent they are
  4. 4

Subcontractors without a licence, CIS worked out

Send work by private link: they accept it and sign it off without a login. Insurance and cards warn you before they expire, and CIS is worked out on labour with a monthly statement and the figures for your CIS300.

Subcontractors with their documents and the month’s CIS
  5. 5

Pay per person, and get paid into your own account

Office users and engineers have their own price. Card payments go through your own Stripe account and Direct Debit through your own GoCardless account: Field Suite takes no cut.

Payments with Pro, or the Quotes and invoices add-on

An invoice with a deposit paid and the balance still owed
  6. 6

Fits the way you already work

Connect your client’s helpdesk, your merchant’s price lists or your own systems with the API and webhooks in every plan. If something you need is missing, we agree in writing what it should do and give you a fixed price and dates before you decide.

API keys and webhooks on the Integrations page

Also in every plan

Every part is explained in the user guide.

  • Live map of your engineers
  • Best driving order for each day
  • A private page for each customer
  • Texts from your own Twilio number
  • More than one branch
  • Calendar feeds for Google, Outlook and Apple
  • UK certificate templates, or your own forms
  • Opened pages and forms work without signal
